Fee and Minimum Notice Period Schedule
FAIR USE POLICY
1. Communal areas, such as phone booths, casual meeting booths and kitchens are to be used in common with other Members.
2. Phone booths and casual meeting booths should not be used for more than 1 hour at a time.
3. The Commons staff may remove belongings left in phone booths or casual meeting booths to make these spaces available for other Members to use. Belongings will be stored securely until the owner returns.
4. Consumables such as beer, seltzer, apples, cereal, tea and coffee are available in the kitchen for members of The Commons. During special events, there may be other food and drink available. This food and drink is provided for everyone in the space to enjoy. Members are expected to take reasonable portions so that there is enough for others.
5. All members of The Commons have reciprocal rights to any of The Commons locations during business hours. Your home location must be the location where you spend the majority of time. If we notice that you are spending the majority of your time at a location other than your home location, our Community Team will send you a new Membership Agreement with the location updated, and the relevant applicable pricing for that location.
6. Members are expected to treat each other with respect at all times.
7. Smoking or vaping anywhere in the space is not allowed.
MEETING ROOM BOOKING POLICY
1. Meeting rooms can be booked by members of The Commons using The Commons Member Portal and App.
2. Meeting rooms cannot be booked by a member on behalf of a non-member. In the case that a member books a room for a non-member, external meeting room rates will be applied to the booking and charged to the member.
3. A member must be present in the meeting room for the entire duration of the booking.
4. Meeting rooms must be booked prior to use and only used for the duration of the booking.
5. Where a Member uses a meeting room without making a prior booking, The Commons Community Team will issue them with a written warning. Where there is a repeated instance, the Community Team will deduct meeting room credits from the company account, or if there are no credits left will charge the company for the meeting room credits applicable to the use of the room.
6. Meeting room bookings can be cancelled up to 30 minutes prior to booking with a full refund of meeting room credits.
7. Meeting room bookings cancelled less than 30 minutes prior to the beginning of the meeting will not receive a credit refund.
DAY PASS BOOKING POLICY
1. Memberships which include On Demand or Business Address have access to purchase Day Pass credits and book Day Passes through The Commons app and Portal.
2. Only members of The Commons with a relevant membership may book Day Passes.
3. Day Pass bookings must be made before 4 pm on the day of intended use.
4. Access to the space will only be granted to Users with a valid Day Pass Booking.
5. Access is available only to the site where the Day Pass has been booked between the hours of 8:30 am and 5:30 pm, and Users must vacate the premises by 5:30 pm on the day of their booking.
6. Any member with a Day Pass booking who is found to have remained in the space outside of the allowed hours will have their membership cancelled.
7. Bookings are non-transferable, and Users cannot make bookings for other individuals.
8. If Users wish to bring guests, they are required to book a meeting room for the entire duration of their guest’s visit.
9. Non-Users may access the space only if they comply with the Guest Access terms as specified in Clause 11 of The Commons Membership Agreement.
10. Day Pass credit can be purchased through the Member Portal or App. The cost of the Day Pass will be invoiced along with the monthly Membership Fee in the subsequent monthly billing cycle, as outlined in the Fee Schedule.
11. Day passes cancelled after 8:30 am on the day of the booking, will not receive a refund of the Day Pass credit.
12. The Fee paid for a Day Pass credit is non-refundable.
13. Members with memberships with unpaid fees for over seven (7) days will have their Day Pass Booking access revoked until the overdue amount is settled.
MEMBERSHIP PAUSE POLICY
1. The Commons offers the ability to pause eligible memberships at our sole discretion.
2. A Membership Pause means an agreed period of time where the Member does not access the Space or Services and does not pay Membership Fees for the duration of the Membership Pause.
3. Memberships are eligible for a Pause (Eligible Memberships) if:
a. The membership is for an Open Desk or On Demand membership, and;
b. The membership is on month to month terms
4. Memberships are not eligible for a pause if:
a. The membership is an Enterprise Office, Private Office, Dedicated Desk, or Virtual Office membership, or
b. The Membership is for an Open Desk or On Demand membership which is on a Fixed Term agreement
5. Eligible Memberships may request a membership pause for any future billing period. Requests for pauses commencing within a current billing period will not be considered.
6. The Member must provide a minimum of five (5) business days written notice of their intention to pause their Eligible Membership, including the intended duration of the Membership Pause.
7. Eligible Memberships may be paused for a minimum of 2 consecutive weeks and for a maximum of 6 consecutive months. A maximum of 6 months of total Pause is allowed within any 12 month period.
8. Upon receiving written confirmation of the intention to pause the Eligible Membership, The Commons will charge a one-off Hold Fee for every Pause.
9. For the duration of the Membership Pause:
a. The Member will not access any of The Commons or associated brands spaces for the duration of the Pause, including as a guest of another member
i. The Member will return their building access pass if applicable, and;
ii. The Member will not attend any of The Commons or associated brands events
10. If the Member is in breach of any part of item 9 above, The Commons will immediately resume the membership and associated Fees from the date of the breach.
11. While the Membership is paused, the Member may not terminate the Membership. If the Member wishes to terminate the Membership, paid notice is still required in line with the Membership’s Notice Period.
12. During the Membership Pause, The Commons reserves the right to suspend mail handling and storage. Members should avoid having large or urgent mail delivered to the office during a Pause.
DEPOSIT RETURN POLICY
1. All Memberships require that a Membership Deposit is paid prior to the start date.
2. The Membership Deposit is usually returned within 6 weeks of either the Membership End Date or the date that the account details are provided to us (whichever is later)
FLEX DESK POLICY
1. Memberships with Private Offices have the option to add Flex Desks to their membership.
2. Flex Desks allow for Private Office Memberships to have a greater number of Users than the capacity of the office, for a low fee per person.
3. The amount of Flex Desks is capped at the capacity of the office. For example, a 10 person office may have 10 members + 10 Flex Desks maximum.
4. The price of Flex Desks is outlined in the Fee Schedule.
5. Upon receiving written confirmation from the Primary Member, The Commons may add or remove Flex Desks to the Membership without issuing a Contract Variation.
6. Each Flex Desk membership includes:
a. 24/7 access pass to the space for one User
b. Access to The Commons app and portal for one User
c. 0 meeting room credits
d. $0 printing allowance
7. If you require more keys than the capacity of your office, you may request that we purchase additional keys, at your cost.
ALCOHOL POLICY
1, Alcohol (usually beer and seltzer) is available on tap for members of The Commons to enjoy in moderation.
2. No person under the legal age for consuming alcohol shall consume alcohol at The Commons.
3. Alcohol provided at The Commons is intended for members to enjoy.
4. Guests of Members who consume alcohol on site must do so in the presence of a full time member and during business hours only.
5. Any persons who are of legal drinking age that choose to consume alcohol at The Commons space shall do so responsibly. You are responsible for ensuring compliance with this rule by your members and guests
6. Our Community Team reviews CCTV to ensure that no members are inviting external guests into the space to consume alcohol after hours. If we find that a Member has broken this rule, we will issue one warning, and for any subsequent breach we will revoke the Member’s 24/7 access pass.
PET POLICY
1. Some of our spaces are pet friendly. You can confirm which locations are pet friendly by contacting the building’s Community Team.
2. We may require persons bringing pets to The Commons to produce proof of vaccination for such pet and/or evidence of compliance with applicable local regulations.
3. You will be responsible for any injury or damage caused by any pet to other members or guests or other occupants of the Premises or to our our property or any employees, members, guests, other occupants, or the owner(s) of the The Commons space, and The Commons will not be liable for any injury to pets in our spaces.
4. Pets have a one month probationary period when they first come into the office. They must be well behaved for the entire first month in order to pass probation.
5. Pets in the space may not:
a. Bark or make other loud noises
b. Move around the office unsupervised
c. Urinate or defecate in the office
d. Behave in any way that prevents other members from enjoying the full benefits of their membership at The Commons
6. After probation, there is a 3 strike policy. After 3 breaches of the pet policy, the pet will no longer be allowed to attend the office.
7. Subject to applicable law, we reserve the right to restrict any person’s right to bring a pet into The Commons space at our sole discretion.
CHILDREN IN THE SPACE POLICY
1. Children At The Commons, we prioritise creating a professional and conducive workspace environment for all our members. While we appreciate the diversity of our community, including families with children, it's essential to maintain an atmosphere that aligns with our primary mission of fostering productivity and collaboration among adults.
2. In consideration of our members' work requirements and the nature of our space, children are generally not permitted to be present in the coworking space for extended
periods or on an ongoing basis.
3. The presence of children should not compromise the safety, concentration, or productivity of other members. Parents or guardians bringing children into the space must ensure they do not cause disruption or disturbance to fellow members.
4. While children are not permitted to be present in the space for extended periods, we may designate specific areas for brief visits with children. These areas will be limited and subject to availability.
5. The Commons reserves the right to enforce this policy and may request that children be removed from the premises if their presence is deemed disruptive or inappropriate.
